 About the Role:

The Talent Acquisition (TA) Coordinator will support interview scheduling and other administrative tasks in support of the Santa Rosa TA Organization.  The role will partner with Recruiters and Managers in the Santa Rosa location, scheduling interviews for site as well as other TA responsibilities.  The primary focus is providing administrative support for Boston Scientific's HR Talent Acquisition group. Successful candidate will work under limited supervision with general instructions given on new assignments.



Your Responsibilities Will Include:

  • Coordinate interview schedules with candidates and hiring teams, book travel arrangements, maintain applicant tracking using Success Factors (ATS)
  • Manage I-9 documentation to ensure compliance
  • Serves as a point of contact for customers.  Contacts are frequent within and outside own organization and involve obtaining or providing information on matters of moderate importance to the organization and may be of a sensitive nature.
  • Additional HR Projects as assigned in staffing or within the larger Talent Acquisition organization
  • Performs general administrative duties that may include photocopying, coordinating meetings/appointments, typing, faxing, ordering/maintaining supplies, arranging travel, ordering lunches as needed for interviews, preparing and/or sorting mail
  • Assists in greeting candidates for onsite interviews, provides tours and administers assessment testing as needed to support interview team.
  • Coordinates projects/assignments, organizes own schedules, and that of others, to meet deadlines.  May gather and prepare data in preparation of upcoming projects; identifies future needs to complete projects.
  • Makes decisions using independent judgment under only general guidelines
  • Translates thoughts into documents (letters/memos/presentations, etc.) using existing material; ensures document is logical and complete as well as accurate in grammar and spelling; makes suggestions for improvements in existing communications
  • Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner; provides guidance to peers as necessary regarding proprietary information. 
  • Assists TA team with sourcing talent, prepping/attending job fairs as needed.



What We’re Looking For In You:

  • Two-year AA degree and 1+ years of administrative experience – preferred focus within HR/TA
  • Must have strong ability to multi-task to meet deadlines in high volume environment
  • Strong organization and attention to detail in high volume role
  • Microsoft Office including Outlook, Word and Excel skills required
  • Strong written and verbal communication skills and the ability to provide exceptional customer support to business functions and candidates
  • Ability to work in cross functional teams and assist in driving the process/task forward to deliver on time completion
