About the role: 
This is an exciting opportunity for a self-motivated, proactive candidate to work on a great team with a collaborative culture. This candidate will support at least 1 VP and the larger Intellectual Property Legal team. The team is responsible for the procurement, licensing and maintenance of BSC’s intellectual property rights. The preferred work mode for this position is hybrid (on-site 2 or 3 days a week) at the BSC campus in Arden Hills, MN.

 

Your responsibilities will include:
⦁    Performs general administrative duties that may include calendar management, coordinating meetings/appointments (in person and virtually), booking conference rooms and proactively identifying and resolving calendar conflicts.
⦁    Anticipates and coordinates projects/assignments, organizes own schedule, and that of others, to meet deadlines.  Several times per year, will organize group meetings (e.g., monthly staff meetings, off-site meetings, various recurring meetings, etc.) which will involve careful planning and organization
⦁    Completing administrative tasks such as photocopying, typing, faxing, ordering/maintaining supplies, arranging travel, expense reports, preparing and/or sorting mail.  
⦁    Performing administrative and operational project work such as leading and managing administrative project for assigned attorneys to increase their effectiveness and efficiency, maintaining team knowledge resources.
⦁    Providing the necessary support to the intellectual property group, including technology sourcing, meeting logistics and onboarding support for new hires.
⦁    Providing support for notarization, legalization, DocuSign and archiving of legal documents, including coordinating review and approvals among the intellectual property group and other stakeholders.
⦁    Creating and managing matters in matters in matter management and e-billing tools under direction of intellectual property team members
⦁    Liaising with law firms and vendors to ensure adherence to outside counsel and billing guidelines, accurate and timely billing and payment.
⦁    Answers complex functional questions that typically require a combination of sound judgement and often additional research and follow-up.  
⦁    Makes decisions using independent judgment under only general guidelines.
⦁    Translates thoughts into documents (letters/memos/presentations, etc.) using existing material; ensures document is logical and complete as well as accurate in grammar and spelling; makes suggestions for improvements in existing communications.
⦁    Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner; provides guidance to peers as necessary regarding proprietary information. Confidential information typically consists of company/division sensitive information (i.e., acquisitions, business strategies, financial data, new product technology).
⦁    Ad hoc projects, as required.

 

Required qualifications: 
⦁    HS diploma or equivalent, Associate’s or Bachelor’s degree preferred.
⦁    4+ years of related work experience supporting VP or above level leadership.
⦁    Previous administrative assistant experience supporting multiple team members with travel and expenses, calendar support and event coordination.
⦁    Strong proficiency in MS Office (e.g. Outlook, Word, Excel, TEAMS & PowerPoint) 
⦁    Highest ethical standards. Discretion and sound judgment when dealing with confidential and/or sensitive information.

 

Preferred qualifications: 
⦁    Proven experience in providing administrative support in a fast-paced organization, including handling of sensitive or confidential information.
⦁    Strong communication skills (written and oral) and interpersonal skills with ability to work across multiple levels of an organization.
⦁    Strong sense of responsibility and urgency as well as attention to detail.
⦁    Strong customer-service orientation and professional demeanor.
