About the role:
The Administrative Assistant IV will provide complex administrative support for three executive leaders across IT along with site activity coordination across their teams. This role requires the ability to handle multiple calendars and executive level support in three large functions for dynamic leaders.
Work mode:
At Boston Scientific, we value collaboration and synergy. This role follows a hybrid work model, requiring employees to be in our Arden Hills, MN office at least three days per week.

Your responsibilities will include:

Performing administrative duties that include coordinating meetings, coordinating travel, arranging large team gatherings, partnering with other Administrative Assistants to align schedules across functions.

Schedules appointments and travel; maintains up-to-date appointment calendar; ensures that the executive is informed at all times of scheduled commitments.

Routinely plans and coordinates conferences, meetings and events by coordinating calendars, scheduling catering, ordering audio-visual equipment and working with facilities to ensure room configurations.

Serving as a point of contact for customers/vendors. Contacts are frequent within and outside BSC organization and involve obtaining or providing information on matters of moderate importance to the organization and may be of a sensitive nature.

Making decisions using independent judgment under general guidelines.

Conducts all aspects of the job with appropriate level of confidentiality and sensitivity to employee and organizational data by storing documents carefully and not disclosing confidential information except on a need-to-know basis.

Ability to handle multiple requests across calendars and scheduling needs of VPs and above.

Acts as an informed source of company policies and procedures by answering routine questions or routing inquiries to the appropriate personnel.

Orders office supplies and equipment and performs or arranges routine maintenance of basic office equipment.

May assist in establishing office policies and procedures and coordinate special projects and department activities.

Collaborates with Facilities team, including active participation on the MN IT Campus Council, involvement in space planning, and addressing general facility needs; also responsible for planning, coordinating, and executing employee engagement activities and events for Minnesota IT.
Required qualifications:

High School Diploma or GED

5+ years of administrative assistant experience

Strong problem-solving skills

Must excel in a highly collaborative environment

Proficient in Microsoft Office Suites, including Word, Excel, PowerPoint, Outlook, Teams and SharePoint
