About the role: The Administrative Assistant III will directly support the VP of Patient Safety and the broader RM Safety team.  Working in a fast-paced environment, the Administrative Assistant III will be responsible for prioritizing requests from multiple team members while ensuring a high level of professionalism and customer service.  This position is viewed as a key functional resource to the entire team focusing on team engagement activities, managing complex Safety team projects and schedules, arranging travel and assisting with event planning, as well as other general administrative duties. 


Your responsibilities will include:

  • Performs administrative duties for leadership team – including VP, Medical Director(s) and Patient Safety Director, as well as supporting the day to day requests of the broader Safety team(s)
  • Completes project work as required including the development of presentations, metrics reporting, and professional written correspondences (internal and external)
  • Plans multiple events including the coordination of logistics, catering, venue reservations, contracts, entertainment, calendar management, etc.  
  • Assists in the preparation of reports, graphs, and presentations using spreadsheet and graphic software
  • Acts as an informed source of company policies and procedures by answering routine questions or routing to appropriate employees for answers
  • Schedules appointments and maintains up-to-date appointment calendar; ensures that the executive is informed at all times of scheduled commitments
  • Conducts all aspects of the job with appropriate level of confidentiality and sensitivity to employee and organizational data by storing documents carefully and not disclosing confidential information except on a need-to-know basis
  • Orders office supplies and equipment, and performs or arranges for routine maintenance of basic office equipment

 

Required qualifications: 

  • Minimum of a High School diploma or equivalent required
  • Minimum of 3 years' of related work experience required
  • Proven experience in providing administrative support to Director/Sr. Managers in a fast-paced organization with multiple priorities
  • Experience handling of sensitive or confidential information
  • Strong sense of responsibility and urgency as well as attention to detail
  • Excellent communication (oral and written) skills and the ability to communicate effectively with internal and external stakeholders at all levels

 

Preferred qualifications: 

  • Experience in Medical Device or Health Care setting preferred
  • Advanced Excel & PowerPoint – position will generate reports and graphs via pivot tables and aid in creating presentations
