Purpose Statement
The purpose of this role is to independently manage and execute administrative and operational activities related to public and private tender processes, ensuring timely and compliant submissions that support revenue generation for Government and Commercial Teams.
This position contributes directly to business results by coordinating cross-functional stakeholders, ensuring regulatory compliance, optimizing documentation processes, and proactively identifying risks and opportunities within the tender lifecycle.
Profile
• 1–3 years of experience in tenders, government sales support, commercial operations, or administrative roles within regulated industries.
• Experience managing documentation in government procurement platforms (Compranet, Ariba, Procura, state platforms).
• Solid knowledge of Microsoft Office, especially Excel (pivot tables, VLOOKUP/XLOOKUP, data analysis).
• Understanding of public procurement processes and regulations in Mexico.
• Strong organizational and analytical skills.
• High level of autonomy and accountability.
• Ability to manage multiple deadlines simultaneously.
• English: Intermediate (reading and basic written communication required).
Key Responsibilities
• Lead the preparation, review, and submission of tender documentation, ensuring accuracy, completeness, and compliance.
• Manage and oversee documentation uploads in government procurement platforms.
• Monitor tender calendars, submission deadlines, clarification meetings, and results proactively.
• Coordinate with Finance, Regulatory, Marketing, Legal, and Sales teams to gather and validate required documentation.
• Perform price analysis, margin validation, and data consolidation to support competitive and profitable bids.
• Identify risks in tender requirements and escalate deviations or compliance concerns.
• Maintain and update databases related to active tenders, awarded contracts, and expiration timelines.
• Support contract review and post-award documentation processes.
• Propose improvements to internal tender processes to increase efficiency and reduce errors.
• Prepare executive-level reports and dashboards on tender pipeline, win rates, and revenue impact.
• Ensure strict compliance with company procedures, quality standards, and ethical policies.
• Support audits and internal controls related to government sales activities.
Required qualifications:
• 1–3 years of relevant experience in tender management or commercial operations.
• Experience working with government procurement platforms.
• Intermediate Excel skills (pivot tables, lookups, data validation).
• Knowledge of public procurement regulations in Mexico.
• Strong analytical mindset and attention to detail.
• Ability to work under pressure and manage multiple projects.
• High integrity and compliance orientation.
Desired qualifications:
• Experience in medical devices or other highly regulated industries.
• Exposure to pricing strategy or financial analysis.
• Experience interacting directly with government institutions.
• Knowledge of ERP or CRM systems (SAP, Salesforce).
