Business Support Partner / Sales & Marketing Assistant – Belgium (m/w/d)
Boston Scientific develops, manufactures, and markets innovative medical technologies across multiple therapeutic areas. To support our continued growth in Belgium and enhance our partnership with healthcare professionals, we are recruiting a Sales & Marketing Assistant to reinforce our Business Support team.
About the role:
To provide high‑quality administrative, operational, and marketing support to business leads and commercial teams, ensuring compliant, efficient, and seamless collaboration with internal stakeholders and healthcare professionals (HCPs).
Your responsibilities will include:
Compliance & Administrative Management
- Manage records and documentation related to interactions with healthcare professionals, ensuring strict compliance with local Belgian regulations, MedTech Europe guidelines and Boston Scientific internal policies.
- Prepare, validate, and submit HCP‑related files (consultancy agreements, educational grants, sponsorship requests…) within strict deadlines.
- Liaise with Legal & Compliance teams to ensure documentation accuracy and alignment with internal rules. Maintain up‑to‑date archives and audit‑ready documentation.
Operational & Logistical Support
- Coordinate and execute logistics for scientific events, trainings, congresses, and internal meetings: venue booking, catering, travel arrangements for HCPs,
on‑site coordination. - Manage purchasing workflows: follow-up on creation of purchase requests, receipt and validation of invoices, tracking payments.
Marketing Support
- Assist in the execution of marketing plans defined by the Business Unit:
- preparation of promotional materials, brochures, presentations, agenda’s...
- coordination of marketing events and product‑related activities.
Financial & Budget Monitoring
- Support budget planning and follow‑up for the division.
- Track expenses, input data into internal systems, and ensure accuracy of budget reports. Provide alerts on overspend risks and ensure financial documentation is complete and timely.
Cross‑Functional Team Collaboration
- Actively participate in Business Support team projects to harmonize processes and improve efficiency.
- Build strong, trust‑based relationships with:internal stakeholders (Marketing, Sales, Compliance, Finance, Customer Service) and external suppliers.
What are we looking for:
- Experience in a similar administrative, sales support, or marketing support role is an asset—experience in healthcare, pharma, or med‑tech is a plus but not mandatory.
- Strong ability to plan, prioritize, and manage multiple projects simultaneously. Proven ability to work with tight deadlines and deliver high‑quality output.
- Customer‑oriented and service‑minded, with a professional communication style suitable for interactions with healthcare professionals.
- Ability to work cross‑functionally and maintain positive relationships internally and externally.
- Strong command of Microsoft Office tools (Outlook, Word, Excel, PowerPoint, Copilot). Comfortable using collaborative platforms (Teams, SharePoint, OneDrive, etc.).
- Excellent communication skills in Dutch, English, and French (spoken and written).
