The primary focus of this role is delivering excellent service and superior customer satisfaction to the Growth Emerging Markets (GEM) organization. The Business Support Partner, GEM is responsible for partnering with the GEM Marketing team by providing complex administrative and organizational support to business teams, international congresses and meetings.
As the main point of contact for the business, internal and external customers, agencies and cross-functional partners, this role works with autonomy under limited supervision and general instruction on new assignments while ensuring compliance with internal policies, guidelines and procedures.
This role may be based in any GEM country or Boston Scientific GEM hub that supports the organization.
Work model, sponsorship, relocation:
At Boston Scientific, we value collaboration and synergy. This role follows a hybrid work model requiring employees to be in our local office at least three days per week. Boston Scientific will not offer sponsorship or take over sponsorship of an employment visa for this position at this time. Relocation assistance is not available for this position at this time.
Your responsibilities will include:
● Serve as the primary contact for country Sales and Marketing teams, external customers, local HCP/HCO/PCO organizations, preferred vendors and conference organizers by providing information, answering questions and directing stakeholders to appropriate resources.
● Lead Internal Request Form (IRF) management for local HCP events and activities based on documented internal requests while ensuring proactive communication and partnership with all stakeholders throughout the process.
● Support cross-country and cross-divisional IRF activities, as needed.
● Lead the organization and logistical coordination of local HCP events, internal trainings and meetings in partnership with Sales and Marketing teams and, when applicable, collaborate with EMEA and global teams.
● Manage Purchase Requisitions (PRs) and Purchase Orders (POs), including vendor setup requests, payment terms, quotations, budget coordination and third-party interactions in collaboration with the Business Support Central Services team.
● Support invoice processing, payment follow-up and invoice status tracking and may assist Financial Planning and Analysis (FP&A) teams with operating expense tracking and budget monitoring.
● Provide administrative support to the business, including maintaining internal files, preparing reports, letters and spreadsheets and coordinating logistics, contracts, schedules and communications related to meetings and events.
● May serve as a subject matter expert within the Business Support function by providing guidance and strategic support to GEM and EMEA teams.
● Ensure awareness of and compliance with applicable standard operating procedures, quality standards and regulatory requirements.
● Provide administrative support during internal and external audits related to HCP interactions, meetings and events.
● Collaborate with other Business Support team members on internal meetings and events in accordance with country-specific regulations and requirements.
● Support new service requests and participate in EMEA and regional projects and assignments aligned with Business Support leadership priorities.
● Travel as needed to support local and international events, GEM meetings and conferences in collaboration with Business Support team members and in accordance with Boston Scientific meeting guidelines.
● Handle confidential information with discretion and ensure information is shared appropriately with internal and external stakeholders.
● Demonstrate a strong commitment to patient safety and product quality by maintaining compliance with the Quality Policy and all documented quality processes and procedures.
Qualifications:
Required qualifications:
● Bachelor’s degree or equivalent combination of education and experience.
● Minimum of 3 years' experience in administrative support, business operations, event coordination or a related field.
● Strong organizational and project coordination skills with the ability to manage multiple priorities simultaneously.
● Experience supporting meetings, congresses, trainings or customer-facing events.
● Experience managing purchase orders, invoices and vendor coordination.
● Strong communication and stakeholder management skills with the ability to interact effectively across functions and cultures.
● Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint and Outlook.
● Ability to work independently with limited supervision while exercising sound judgment and discretion.
● Fluency in English required.
Preferred qualifications:
● Experience working within the medical device, healthcare or highly regulated industry.
● Experience supporting international or regional teams across multiple countries.
● Familiarity with HCP compliance processes, event management systems and internal approval workflows.
● Experience collaborating with finance, procurement or shared services teams.
● Additional language skills are preferred.
