Meeting & Events Business Support Partner

As a Meeting & Events Business Support Partner, you will play a key role in supporting the Growth Emerging Markets (GEM) organization by delivering exceptional service and operational excellence. You will partner closely with Sales and Marketing teams to coordinate healthcare professional (HCP) events, internal meetings and training programs while ensuring compliance with Boston Scientific policies and procedures.
As a trusted business partner, you will collaborate with internal stakeholders, external customers, vendors and conference organizers to deliver seamless meeting and event experiences that support business objectives across the GEM region.
Work model, sponsorship, relocation:
At Boston Scientific, we value collaboration and synergy. This role follows a hybrid work model requiring employees to be in our local office at least three days per week. Boston Scientific will not offer sponsorship or take over sponsorship of an employment visa for this position at this time. Relocation assistance is not available for this position at this time.
Your responsibilities will include:
● Serve as the primary point of contact for local Sales and Marketing teams, healthcare professionals (HCPs), healthcare organizations (HCOs), conference organizers, preferred vendors and other internal and external stakeholders.
● Lead the Internal Request Form (IRF) process for HCP events and activities, ensuring timely execution, proactive communication and compliance with internal requirements.
● Coordinate logistics for local HCP events, internal meetings and training programs, partnering with Sales, Marketing and, when applicable, EMEA and Global teams.
● Manage purchase requisitions, purchase orders and vendor-related activities, including supplier onboarding, quotations, payment terms and budget documentation in collaboration with the Business Support Central Services team.
● Coordinate invoice processing and payment follow-up while supporting operational expense tracking and budget monitoring as required.
● Provide comprehensive administrative support, including preparing documents and reports, maintaining internal records, coordinating contracts, managing event logistics and facilitating communication across teams.
● Support internal and external audits related to HCP interactions, meetings and events by maintaining accurate documentation and ensuring compliance.
● Act as a subject matter expert within the Business Support organization, providing guidance and sharing best practices across GEM and EMEA when appropriate.
● Collaborate on regional initiatives, new service requests and cross-functional projects to drive operational excellence and continuous improvement.
● Support local and international meetings and events, including occasional travel when required.
● Handle confidential business information with professionalism, integrity and discretion.
● Demonstrate a strong commitment to patient safety, product quality and compliance with all applicable quality systems, policies and regulatory requirements.
Required qualifications:
● Bachelor's degree or equivalent combination of education and experience.
● Minimum of 2 years' experience in administrative support, meeting and event management, business operations or a related function.
● Experience coordinating meetings, events or congresses involving multiple stakeholders.
● Experience working with purchase orders, invoices, budgets or financial administration.
● Strong organizational and project coordination skills with the ability to manage multiple priorities simultaneously.
● Excellent communication and stakeholder management skills.
● Strong attention to detail and commitment to accuracy.
● Proficiency with Microsoft Office applications, including Outlook, Excel, PowerPoint and Word.
● Professional English language skills, both written and verbal.
● Ability to work independently while collaborating effectively within an international team.
Preferred qualifications:
● Experience supporting healthcare professional (HCP) events or working within the medical device, healthcare or pharmaceutical industry.
● Experience working in a matrix or multinational organization.
● Knowledge of procurement, finance or compliance processes.
● Experience supporting regional or international teams.
● Additional European language skills.
