Primary focus is providing moderately complex administrative support for individuals and/or department.  Works under general supervision and receives detailed instructions only for new assignments. Coordinates, plans and organizes internal and external business related functions, trade shows, symposiums, conferences, program events, and trainings. Develops on-site and off-site plans and budgets. Investigates, coordinates, arranges and contracts for hotel accommodations, air and ground transportation, communications and facilities support, client and guest program functions, and similar activities to support company marketing and customer relations. Directs multiple service contractors and subcontractors arranging events supporting company sales/management, physicians, international dignitaries and government officials.


Key Responsibilities:

Coordinates projects/assignments of broader scope, independently seeking appropriate internal and external resources as necessary such as: Assembling and distributing materials; Compiling and/or tracking data; Verifying the accuracy of data collected.
•    Performs general administrative duties that may include coordinating meetings/appointments, preparing emails, typing, photocopying, ordering/maintaining supplies, arranging travel.
•    Serves as a point of contact for customers. Contacts are typically with individuals within own organization and occasionally with contacts outside own organization and involve obtaining or providing information requiring some explanation or interpretation.
•    Answers questions related to established policies and procedures. Directs people to the appropriate resource. 
•    Makes decisions within established guidelines regarding planning, organizing, and scheduling of work.
•    Creates and types routine documents (letters/memos/e-mails, presentations, etc.) and revises as necessary; ensures accuracy in grammar and spelling.
•    Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner.
•    Confidential information typically consists of department or employee sensitive information (i.e. employee salaries).
•    Ensures awareness and compliance with applicable standard operating procedures to meet, comply and champion all quality and regulatory commitments of Boston Scientific. Works closely with Compliance and Legal. 
•    Collaborates with Marketing staff/management and other stakeholders to create agendas for proposed visits, courses, and symposia to ensure program objectives are successfully met. This includes proposals, budget management, and project management.
•    Organizes and facilitates program planning meetings (e.g., strategy sessions, progress checks) to ensure that all parties involved are properly informed and contributing, as necessary, to assure program success and to ensure that program objectives are met.
•    Communicates with customers to ensure that curriculum is designed to meet program objectives and to coordinate logistics for their participation in the event (e.g., hotel, transportation, schedule).
•    Communicates with management and sales representatives to coordinate their participation in customer visits by determining the nature of their involvement (e.g., presentation, tour, lunch) and informing them of the logistical details (e.g., room, time, AV equipment). Provides direction to third party vendors by meeting to incorporate ideas, goals, and budget and to ensure vendor has clear concept of what is required for the final product.
•    Manages all aspects of registration for courses including invitations, travel and hotel accommodations, rooming lists, and ticket distribution to ensure that logistics are effectively managed for all participants and faculty.
•    Attends events to ensure that details associated with participants, lodging, equipment needs, guest speakers and agendas are attended to and that problems are corrected.
•    Archives all documents and records pertaining to program management (e.g., research files, contracts, agreements, correspondence) by maintaining secure files to ensure program/project information remains confidential and is available for future reference.

Skills and Expertise Required:

•    Fluent English and Finnish language knowledge (written and spoken), Swedish is a plus
•    Experience in service/support-oriented roles would be a benefit, but not essential
•    Experience in a medical device company would be a benefit, but not essential
•    Ability to work within an international environment and in the matrix organization
•    Highly organised – time management and prioritization skills
•    High attention to detail
•    Problem solving skills
•    Customer and result oriented
•    Good interpersonal and communication skills
•    A self-starter and someone who is self-sufficient
•    Be a team player, adaptable and flexible
•    Meeting and event planning & organisation experience will be a plus
•    Advanced level in use of Microsoft Office (Outlook, PowerPoint, Word, Excel)
•    Digital tools knowledge will be valued
•    To work in a hybrid work mode from the office and home
