Working closely with GEM Marketing and Sales teams, Business Support colleagues, external customers, healthcare professionals and organizations, agencies, preferred vendors, and conference organizers, you will support international congresses, meetings, and local business activities. You will act as a key point of contact, help coordinate complex operational requests, and ensure that activities are completed in line with internal policies, guidelines, quality requirements, and procedures.
Your Responsibilities Will Be:
- Act as a point of contact for country Sales and Marketing teams, external customers, local HCPs, HCOs and PCOs, preferred vendors, and conference organizers, providing information, answering queries on established policies and procedures, and directing stakeholders to the appropriate resources.
- Support and coordinate Internal Request Forms (IRFs) for local HCP events and activities, ensuring timely communication and proactive collaboration with key stakeholders throughout the process.
- Assist with Purchase Requisition (PR) and Purchase Order (PO) activities, including preferred-supplier coordination, vendor-creation requests and follow-up, payment terms, finance information, quotations, budgets, and third-party information.
- Handle invoices, follow up on payments and invoice status, and, where required, support operating-expense and budget tracking in collaboration with divisional FP&A teams.
- Provide administrative and organizational support to the business, including updating internal files, preparing letters, reports and spreadsheets, and coordinating logistics, contracts, schedules, communications, and meal arrangements for local events and meetings.
- Support internal and external audits related to HCP interactions, events, and meetings, while maintaining compliance with applicable standard operating procedures, quality commitments, and regulatory requirements.
What You Will Gain:
- Hands-on experience supporting Sales and Marketing teams across the Growth Emerging Markets organization.
- Exposure to event and meeting coordination, HCP-related processes, purchasing, invoice management, budget follow-up, and business administration.
- Experience collaborating with a broad network of internal and external stakeholders across countries and functions.
- A strong foundation for future roles in Business Support, Operations, Event Coordination, Procurement Administration, or Commercial Support.
What Are We Looking For In You:
- A recent beachelor´s or master´s graduate with an interest in business support, operations, administration, event coordination, or a related functional area.
- Fluent in English (B2+/C1)
- Working knowledge of business concepts, procedures, and practices, with the ability to understand and apply established company policies and processes.
- Strong planning, organization, and prioritization skills, with the ability to manage daily activities and meet established schedules.
- A service-oriented mindset and commitment to providing a high level of support and customer satisfaction.
- Clear and professional communication skills, with discretion, diplomacy, and tact when working with internal and external stakeholders.
- Ability to work with autonomy, follow general guidance on new assignments, recommend solutions, and escalate issues when appropriate.
- Strong attention to detail and the ability to manage confidential information appropriately.
- Flexibility to collaborate across countries and teams and, when required, travel to support local or international events and GEM meetings in accordance with company guidelines.
What We Can Offer To You:
- A paid opportunity with practical exposure to business operations in an international healthcare organization.
- Support in building expertise across business support, event coordination, purchasing, finance administration, and stakeholder management.
- Opportunities to collaborate with GEM and EMEA teams, Sales and Marketing colleagues, vendors, agencies, and external partners.
- The possibility to develop subject-matter expertise within the Business Support function.
- An inclusive culture.
