As an Administrative Assistant III within the Interventional Cardiology & Vascular Therapies R&D and Program Management organization you will be responsible for administrative support. We are looking for a professional who works under limited supervision with general instructions given on new assignments, enjoys a fast-paced environment, and loves to collaborate across the team and organization. This team member will support a team of approximately 200 employees with direct support for 1 VP and 6 Directors.
Work model, sponsorship, relocation:
At Boston Scientific, we value collaboration and synergy. This role follows an onsite work model requiring employees to be in our local office at least four to five days per week. Boston Scientific will not offer sponsorship or take over sponsorship of an employment visa for this position at this time. Relocation assistance is not available for this position at this time.
Your responsibilities include:
Event & Meeting Planning
- Plan, organize, and execute large functional gatherings and events, managing all logistics and vendor timelines from start to finish.
- Schedule and coordinate a wide range of meetings, such as staff meetings, Town Halls, planning sessions, and recurring leadership meetings.
- Manage logistics including agendas, materials preparation, slide organization, attendance tracking, meeting minutes, and action-item follow‑up.
- Support site‑level leadership engagement activities, creating a welcoming and engaging environment for employees.
Administrative & Executive Support
- Perform a full range of administrative duties, including scheduling and coordinating meetings, managing calendars, arranging domestic and international travel, greeting visitors, organizing functional meetings, and processing expense reports.
- Proactively identify and resolve scheduling conflicts, prioritize meetings, and ensure leaders are always aware of commitments.
- Maintain confidentiality when handling sensitive employee or organizational information.
Stakeholder & Customer Engagement
- Engage with internal stakeholders and external individuals of significance to the organization, using tact, professionalism, persuasion, and negotiation skills.
Communication & Documentation
- Act as a primary conduit for communication to and from senior leadership, supporting clear and consistent messaging internally.
- Prepare, edit, and improve documents, presentations, letters, and memos—translating complex or technical information into clear, accurate, professional materials.
Project & Initiative Support
- Anticipate needs, coordinate projects and assignments, and manage schedules to meet deadlines.
- Support various initiative components such as developing timelines, preparing status reports, coordinating large events, processing invoices, managing vendor relationships, and overseeing deliverables.
Financial & Procurement Support
- Support financial processes including purchase orders, vendor invoices, p‑card purchases, myBuy activity, and reconciliation tasks.
- Secure vendor estimates and ensure vendor quality for events and initiatives.
Onboarding & Organizational Support
- Maintain onboarding documentation and support the onboarding of new hires, including senior‑level staff.
- Manage organizational charts and assist with announcements for new hires and promotions.
- Serve as a knowledgeable resource for company policies and procedures, routing inquiries as needed.
Required Qualifications:
- Previous administrative assistant experience (minimum 3+ years) supporting multiple team members
- Experience in supporting senior level leaders
- Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, SharePoint, Teams, expense reporting software (Concur) and travel booking solutions
- Essential that applicants are skilled and enjoy event planning and execution
- Strong communication skills (written and oral) and interpersonal skills with ability to work across multiple levels of an organization
- Attention to detail and well organized

Compensation will be commensurate with demonstrable level of experience and training, pertinent education including licensure and certifications, among other relevant business or organizational needs.
