Your responsibilities will include:
Program Coordination:
- Collaborate with sales, marketing, conference organizers, hospitals, and the education team to support skills training programs, including hands-on workshops and cadaver lab training sessions.
- Simulation and Simulator models: prepare and test simulator models before sessions to ensure readiness.
- Liaise with internal teams, grants teams, vendors, and conference organizers to align resources with program needs, incl. ensuring all stakeholders are informed about program updates, logistics and responsibilities
- Plan and execute the shipment of devices, models and materials to training locations, tracking shipments to ensure timely delivery and manage any issues related to shipping, device calibration and on-site storage.
- Facilitate the return of equipment and unused materials, verifying conditions and restocking appropriately
- Assist in updating, and distribution of educational materials
Database and Program Management:
- Oversee the professional education trainee & all learner database, maintain the program calendar, and input data into Salesforce as needed.
Inventory and Materials Management:
- Manage and maintain the inventory of training and educational tools (e.g., simulators, models, training materials) to ensure readiness and availability for programs.
- Manage an inventory of capital devices used in training programs, ensuring availability and proper storage
- Maintain an accurate inventory of simulation models, including tracking usage, condition, and replacement needs
- Develop a preventive maintenance schedule to ensure all models function optimally for educational sessions
- Coordinate maintenance with vendors for simulator and simulation models
- Forecast disposable materials requirements for training programs and maintain sufficient stock levels
- Collaborate with vendors to ensure timely procurement of disposables, optimizing cost and usage efficiency
Evaluation and Feedback:
- Coordinate pre- and post-program evaluations of training content and faculty, monitor changes impacting training needs, and implement necessary updates to training protocols and materials.
- Local Speaker Program & Virtual/Hybrid Event Support: Assist in coordinating local speaker programs and virtual meetings (e.g., via Zoom or Teams), ensuring smooth logistics and execution.
Required qualifications:
- At least 2-3 years of experience in program coordination, project management, or similar roles.
- Experience working in educational or training environments, ideally in a healthcare or medical setting.
- Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
- Excellent communication skills (both written and verbal) for liaising with internal teams and external stakeholders.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM systems (e.g., Salesforce).
- Strong attention to detail and the ability to maintain accurate records and databases.
- Ability to work independently and as part of a team, demonstrating flexibility and initiative.
- Travel: up to 30%
- Fluent in English
- Experience with virtual meeting platforms (Zoom, Microsoft Teams, etc.) and coordination of online events.
- Basic knowledge of inventory management and maintaining educational materials.
Preferred qualifications:
- Prior experience in the medical, healthcare, or educational training sectors, especially related to skills training, workshops, or simulations.
- Experience working with cadaver labs or similar hands-on training environments.
- Experience coordinating or supporting speaker programs or conferences.
- Knowledge of Salesforce or similar CRM platforms for data entry and reporting.
- Familiarity with e-learning platforms or training software (e.g., learning management systems, simulation tools).
- Advanced project management skills and certification (e.g., PMP, CAPM) would be a plus.
- Ability to work under pressure and meet deadlines while maintaining quality and accuracy.
- Strong problem-solving abilities and a proactive approach to addressing challenges.
- A customer-service-oriented mindset, with the ability to work collaboratively across teams and with external partners.
- Have an appetite for innovation and continuous learning.
