About the role:
The Project Specialist will support the WATCHMAN Marketing organization by providing operational, administrative, and project coordination support across multiple initiatives. This role is ideal for a highly organized, detail-oriented professional who thrives in a fast-paced environment and enjoys balancing day-to-day administrative responsibilities with participation in high-impact special projects. The Project Specialist will work closely with marketing leaders, project owners, and cross-functional partners to ensure projects, processes, and communications run smoothly.
Work model, sponsorship, relocation:
At Boston Scientific, we value collaboration and synergy. This role follows a hybrid work model requiring employees to be in our Maple Grove, MN office at least three days per week. Boston Scientific will not offer sponsorship or take over sponsorship of an employment visa for this position at this time. Relocation assistance is not available for this position at this time.
Your responsibilities will include:
Administrative and operational support
● Provide administrative support to the VP of Marketing, including calendar management, meeting coordination, agenda preparation, follow-up documentation, travel planning, and expense management
● Support the team in purchase orders, invoices, contracts, and vendor documentation as needed
● Maintain organized records, shared drives, project documentation, and process materials
● Support onboarding, offboarding, and team communications within the Marketing organization
● Assist with preparation of presentations, reports, and internal communications, as requested
Project coordination and special projects
● Work closely with the marketing team to support HCP engagement activities, including meeting planning, contract requests, HCP documentation, and payment activities
● Coordinate small to medium-scale marketing projects or workstreams, ensuring timelines, deliverables, and dependencies are clearly tracked
● Support special projects such as product launches, campaigns, events, internal initiatives, or process improvement efforts
● Identify process gaps or inefficiencies and recommend improvements to enhance workflow and execution
Communication and stakeholder management
● Work closely with other administrative assistants on meeting or travel requests
● Serve as a point of contact for internal and external partners on assigned initiatives
● Facilitate cross-functional collaboration by coordinating meetings, sharing updates, and ensuring clarity on roles and responsibilities
Required qualifications:
● Bachelor’s degree in business, marketing, communications, or a related field (or equivalent experience)
● Minimum of 2 years' experience in an administrative, project coordination, or marketing support role
● Strong organizational and time management skills with the ability to manage multiple priorities
● Excellent written and verbal communication skills
● Proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word) and collaboration tools (e.g., Teams, SharePoint)
● High attention to detail with a proactive, solutions-oriented mindset

Compensation will be commensurate with demonstrable level of experience and training, pertinent education including licensure and certifications, among other relevant business or organizational needs.
