About the role:

 

Primary focus is complex project assignments within a specialized function and supporting a Vice President and Senior Director of HEMA. May also provide general administrative support for two additional directors and/or department. May provide guidance and give work direction to others. Works under minimal supervision. Work may be done without established procedures. Performs general administrative duties that may include photocopying, coordinating meetings/appointments, typing, faxing, ordering/maintaining supplies, arranging travel, preparing and/or sorting mail.

Your responsibilities include:

 

  • Contacts are frequent with individuals representing outside organizations and/or individuals of significant importance within the company. Contacts involve planning and preparation of communications, requiring tact, persuasion, and negotiation skills.
  • Answers questions that may involve interpretation of company policy.
  • May be responsible for various components of project assignments to include:
    • Developing and adhering to timetables
    • Coordinating large meetings/events (i.e. parts of a national trade show)
    • Preparing status reports, records, and documents
    • Securing vendor estimates and purchase orders, processing invoices, ensuring vendor quality
    • Overseeing the execution of project deliverables
  • Managing calendars, travel and expenses for Vice President, Senior Director, and, time permitting, two directors.
  • Managing the execution of contracts with external vendors (obtaining signatures, entering contracts into our systems for payment, etc.).
  • Reviewing the status of projects and budgets and providing updates to HEMA leadership team.
  • Anticipating department projects and organizing own schedule, and that of others, to meet deadlines.
  • Anticipating obstacles, developing alternative courses of action, and making appropriate decisions to meet objectives.
  • May conduct research and compile and analyze information for reports in order to make decisions and/or recommendations.
  • Projects may be highly visible and require company resources.
  • Develops documents and administers procedures. Provides guidance to and may train others on those procedures.
  • Translates complex and/or technical, in-depth thoughts into documents (letters/memos/presentations, etc.) by researching subject; anticipates needs for communications; makes suggestions for improvements in existing communications.
  • Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner; provides guidance to peers as necessary regarding proprietary information.
  • Confidential information typically consists of non-public company sensitive information (i.e. acquisitions, business strategies, financial data).

 

What we’re looking for:

Qualification:

 

  • Typical minimum education and experience required is a Two-year AA degree and 6 years of related experience.
  • In-depth expertise in BSC’s core hardware and software package (i.e. creating formulas and macros and working with multiple worksheets in Excel, producing advanced screen shows in PowerPoint, inserting graphics, charts and tables in Word, creating forms, queries and reports in Access).
  • Extensive knowledge in specialized function(s).
  • A wide and comprehensive understanding of both administrative and departmental/technical aspects of the job and their practical application to complex problems.
