About the Role:
In this role, you will join the Innovations Center team within Boston Scientific Corporation to manage the functions of the Endoscopy Innovation Programs in the Marlborough Innovation Center (MIC).
The MIC hosts Healthcare Providers and Healthcare Administrators from all over the globe to discover the value of partnering with Boston Scientific. As the Innovations Programs Specialist, you will be responsible for driving the back-end processes that bring our strategies to life. You'll own the scheduling, coordinating, and logistics for all MIC programs, both in person and digitally. You will also partner with the Strategic Program Manager team for the Endoscopy on improving the overall experience for Boston Scientific business and our external customers. You will play a crucial role in providing memorable and equitable experiences to all participants.
Your Responsibilities Will Include:
- Serve as an ambassador for BSC by providing thorough and professional communication, visit oversight and management, and direct customer interaction from program inception through completion
- Manage customer experiences through various delivery methods: on-site, virtual and hybrid
- Manage customer programs logistics in multiple BSC locations as necessary (Marlborough, Quincy, Spencer)
- Partner with Strategic Program Manager, Innovation Center Manager, MedSurg leadership, sales, marketing, and others to execute customized programs
- Build and maintain relationships with marketing, HCP operations, R&D, facilities, and catering to ensure the execution of all logistics for each customized program
- Work with various stakeholders to strategize, source, create and include multimedia content and interactive hands-on experiences for visits
- Participate in planning and preparatory calls with requestor core team and discussion leaders to ensure understanding of program objectives
- Ensure all necessary digital content and hardcopy assets (i.e. welcome message, agendas, name badges, release documents, CDAs, etc.) are prepared in partnership with Corporate Communications, DMCxp, and external vendors to ensure consistency with BSC branding
- Management of MIC SharePoint Calendar to ensure visibility to the internal requestors
- Creation of meeting assets (i.e. meeting planner, save-the-date, and agenda templates) to communicate a program
- Capture internal and external customer feedback is captured via in-meeting observation and post-meeting surveys to evaluate program impact and reassess objectives as needed, striving to continuously improve
- Support financial negotiations, contracting, vendor payments and accruals process while ensuring cost saving measures
Required Qualifications:
- Bachelor’s degree (Hospitality, Event Planning preferred)
- 5+ years of experience operating an event/conference venue or briefing center for a global company; or 5 years organizing and managing internal and external events for a global company
- Experience in project or program management
- Experience with Microsoft Suite products
- Ability to be present at the MIC to host programs (may include nights, weekends, and holidays if needed by individual program)
- Must be able to lift and move large pieces of equipment (up to 50 lbs.)
Preferred Qualifications:
- Experience hosting external customer engagement programs in a corporate facility
- Experience working across multiple functions and capabilities of an enterprise, prioritizing plans and strategies that need the support of a singular venue
- Ability to prioritize workloads, quickly transition between projects, and adapt to unanticipated issues that arise with grace and agility to ensure positive customer experience
- Familiarity with financial processes and documentation with an understanding of compliance and regulatory process management related to vendor negotiations
- Professional written and verbal communication skills; including demonstration of diplomacy and tact to resolve difficult, contentious and/or potentially significant business-impacting situations
- Experience with Cvent, Global Meetings Management, and/or SalesForce
- Demonstrated ability to quickly learn and adapt to multiple technology and software systems
