About the role:
The core objective of the Events and Training Coordinator is to manage and assist events, training programs, and medical education activities, in collaboration with the European and Local Marketing teams to identify needs and execute actions for each activity. This role will report to the Marketing Operations Manager for the Endoscopy EMEA team.
The Events and Training Coordinator's support is crucial for organizing high-quality events and achieving maximal internal and external satisfaction.
Your Responsibilities will include:
- Working with Customer Education Team, Marketing Team, Tradeshows & Events, and Business Support to manage events such as educational training programs, expert meetings, advisory boards, webcasts, international congresses, etc.
- Coordinating the preparation of major external events together with Marketing Operations Manager and all internal and external stakeholders from early stage to post-event debrief.
- Occasionally supporting trainings and events on-site with Customer Education Specialists and Marketing Team to assist Healthcare Professionals (HCPs) during trainings and internal team during events.
- Communicating course information to countries.
- Managing courses/events registration: building event website, brochures, training materials.
- Assigning pre-learning material.
- Collecting & submitting required event documentation according to compliance guidelines.
- Collaborating with countries to ensure proper documentation is in place for event faculty.
- Supporting events’ logistics: room booking, catering, transfers, shipping equipment, coordination with local vendors.
- Monitoring inventory management of supplies and products, order supplies when needed.
- Managing tools to aid in the execution of events and training programs: Webcast (Zoom), event management (Cvent), Acuity and SalesForce platform.
- Monitoring and managing registration, progress, completion of educational deliverables through metrics and budget data.
- Processing course invoices, following up on HCPs’ payments and purchase orders when needed with Business Support.
- Monitoring satisfaction through surveys and metrics; analyzing data and proactively seek feedback for continuous improvement.

- Experience in project management preferred.
- Experience communicating effectively and ability to establish strong relationships.
- Ability to multitask and coordinate multiple projects simultaneously and meet deadlines within a fast-paced environment.
- Seeking continuous process improvement & efficiency by proposing solutions, learning from experience, and implementing new tools.
- Paying attention to details to ensure external & internal satisfaction.
- IT Skills: PowerPoint, Excel, Word, Outlook are required. Experience with Cvent, Zoom or SalesForce will be considered a plus.
- Ability to travel (around 15% of time).
- Language Skills: fluency in English; any additional European language (especially French, Spanish, Italian or German) will be considered a plus.
