Business Support Assistant EMEA

(New Cardio division)

 

Boston Scientific is looking for a brilliant talent, to join the newly created Business Support Central team. Our team provides administrative support to European Sales & Marketing organizations and is point of contact for the business, internal & external customers, agencies and other functions.

The candidate will have the opportunity to collaborate with high performing and fast-paced Sales and Marketing teams as well as with the Business Support colleagues on the daily basis, will attend the business meetings and get exposure to marketing and administrative processes. 

 

Your responsibilities will be:

 

  • Support in the organization of medical events such as webinars, advisory boards, congresses
    • Coordinating and administering internal documents flow required for HCP interactions according to compliance requirements (IRF requests management including HCP contract management/invitations letters. etc)
    • Booking flights, hotels and restaurants, handling registrations, maintaining a regular exchange with participants to keep them informed
  • Personal Assistance (around 30% of the time) - assisting with activities entrusted by department Director that might include:
    • Travel & expense management: booking/changing travel, transport and accommodation for Commercial Director, concur and administrative work related to the expenses on behalf of Commercial Director
    • Meeting management: organization of meetings on behalf of Commercial Director: reservation, set up meeting room, catering, agenda, taking meeting notes
    • Calendar management support
  • Support to spend and budget tracking of the supported Marketing team
  • Purchase orders management and invoice handling (submitting requests received from sales and marketing teams)
  • Promotional, Educational, Sales Support and Training materials submission and tracking
  • Management of marketing materials & demo devices stored in an external warehouse
    • Arranging shipments at the request of sales teams
    • Monitoring stocks and supplementing any shortages in cooperation with the
  • Reference contact person for EMEA Sales & Mkt teams and international customers - obtain/provide information, answer queries related to established policies and procedures. Direct people to the appropriate resource
  • As part of a team, provides support and collaborate with Business Support members when needed
  • Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner

 

Who are we looking for:

 

  • 1-3 years of experience in similar in service/support oriented role preferably in a medical device company
  • Ability to work within an international environment and in the matrix organization
  • Highly organized – time management and prioritization skills
  • High attention to detail
  • Self-starter with excellent interpersonal and communication skills, able to communicate efficiently with senior leadership and customers
  • Problem solving skill,
  • Able to work independently and be part of the team
  • Advanced level in use of Microsoft Office (Outlook, PowerPoint, Word, Excel)
  • Fluent English language knowledge (written and spoken)
  • Digital tools knowledge will be valued
