About the role:

 

EMEA Business Support Partner Graduate will be part of the Business Support Central team, whose main objective is to provide a high level of service and superior customer satisfaction to European sales and marketing organization. As an Intern, you will perform a variety of administrative duties that are related to supporting requests from the regional marketing department and that contribute to the successful organization of medical events.

 

 

 

Your responsibilities include: 

 

  • Acting as contact person for EMEA Sales & Marketing teams, occasionally for external customers, preferred vendors and conference organizers, providing information, answering queries related to established policies and procedures and directing stakeholders to the appropriate resources.

 

  • Managing purchase orders by submitting requests received from Sales & Marketing teams and ensuring all orders are processed in accordance with the company's internal policies. Responsibilities include purchase order creation, vendor creation and maintenance, coordination of third-party intermediaries (TPIs), and conducting monthly reviews of open purchase orders to ensure timely follow-up and closure.

 

  • Handling invoices, monitoring payment and invoice status.

 

  • Management and reconciliation of divisional corporate card expenses - overseeing business-related expenditures made with the divisional corporate card, ensuring accurate reconciliation, compliance with internal policies, timely submission of supporting documentation, resolving discrepancies, and liaising with Finance to support accurate financial reporting.

 

  • Providing administrative support for the organization of medical events, including webinars, congresses, and other educational meetings, by processing documentation, preparing contracts and invitation letters, collecting post-event documentation, and processing invoices.

 

  • Management of marketing materials & demo devices stored in an external warehouse.

 

  • Supporting EMEA Business Support Partners in the organization and coordination of international events, European trainings, and internal meetings, including healthcare professional (HCP) travel arrangements, hotel and restaurant bookings, shipments and other event-related logistical activities.

 

The candidate will have the opportunity to participate in and learn about the administrative processes linked with meetings and events and support to marketing, as well as get exposure to the international communication with the colleagues from different departments.

 

 

 

Your profile:

 

  • You are still at University studying a Masters Degree in Business, Administration, Marketing or related area
  • Availability for a 12-month graduate program (employment contract)
  • You are Fluent in English and Polish, other European language will be a plus
  • Good interpersonal skills and reliability are part of your soft skills
  • You are excellent in planning and organizing
  • You present proactive attitude
  • You are also self-motivated and have a creative mindset
  • Good knowledge of Microsoft Suites (Excel, Word, Teams etc.)
