HCP Contract Specialist
Location: Warsaw
Purpose:
The HCP Contract Specialist is responsible for managing contracts for all Clinical Consultant Services and Committees across global regions. This role ensures the efficient, compliant, and standardized handling of contracts throughout clinical studies and across geographies.
Your Responsibilities will include:
- Analyze incoming contract requests (via email or Intake Form) and provide guidance to Clinical Trial Managers (CTMs) in line with good clinical practices.
- Manage end-to-end contract processes including contract generation, compliance checks, renewals, and documentation.
- Generate contracts for Steering Committees, Clinical Events Committees, Data Safety Monitoring Boards, Study Advisory Boards, Coordinating PIs, Independent Data Reviewers, and other clinical stakeholders.
- Act as a key liaison across global regions and functions, working with Legal, Compliance, Finance, CTMs, Field Engineers, hospitals, and external partners.
- Develop contract standards in coordination with Legal Counsel to ensure alignment with clinical and business needs, particularly for OUS regions.
- Draft U.S. agreements using the Salesforce/ENGAGE HCP platform.
- Track contract expiration dates and initiate timely renewals.
- Ensure full compliance with internal policies and applicable country laws and regulations.
- Maintain clear documentation through Compliance Desktop and manage contract storage and distribution.
- Guide CTMs on payment processes (e.g., COS US, Invoice EMEA).
- Address day-to-day operational questions and contract-related issues.
- Handle and review translations of contracts in native languages as needed.
What are we looking for in you?
Education & Experience:
- Bachelor’s degree in Law or a related field.
- Minimum of 2 years’ experience in contract management within the healthcare or clinical research environment.
Specific Skills:
- Strong knowledge of Legal & Compliance practices in the Healthcare/Medical Devices industry.
- Experience navigating diverse global regulatory landscapes.
- Proficient in drafting and editing legal agreements.
- Detail-oriented with analytical thinking for reviewing contracts.
- Demonstrated ability to work cross-functionally and build internal/external relationships.
- Excellent interpersonal and communication skills.
- Commitment to patient safety, compliance, and quality standards.
