Primary focus is delivering high level of service and superior customer satisfaction to European Sales & Marketing organizations. Point of contact for the business, internal & external customers, agencies and other functions. Assists by providing complex administrative support, working with authonomy, under limited supervision with general instructions given on new assignments, always in compliance with internal policies, guidelines and procedures. This position will be based in Warsaw and possibility to work also Hybrid. ( some days from home)

             

Key responsibilities:

  • Cross country and cross divisional IRFs (Internal Request Forms) management for Health Care Professionals events and activities
  • Keep close relation and communication with key stakeholders of the IRF process
  • International Events, European Meetings support, organization and logistic arrangement
  • May collaborate with other Business Support team members on internal meetings and events if needed
  • PO and invoice handling
  • Support to spend and budget tracking
  • Perform general administrative & marketing activities: business-related files and Database maintenance, create routine documents (letters, reports, spreadsheets, presentations, etc.), order/maintain supplies, demos & brochures request, shipping and storage control, digital materials, etc.
  • May assist annual Marketing Plan by providing data & previous year information
  • Internal & External Audit support
  • Reference contact person for EMEA Sales & Mkt teams and international customers, Involve obtain/provide information, answer queries related to established policies and procedures. Direct people to the appropriate resource
  • Support to New Service Requests, collaborate on EMEA projects/assignments of broader scope, aligned and agreed with Manager (New Service Request process to be followed when needed)
  • As part of a team, provide support and collaborate with Business Support members when needed
  • Awareness and compliance with applicable standard operating procedures to meet, comply and champion all quality, regulatory and compliance commitments of Boston Scientific
  • Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner

 

Our Requirements:

  • Experience in service/support oriented role, experience in a medical device company is a plus
  • Ability to work within an international environment and in the matrix organization
  • Highly organized – time management and prioritization skills
  • High attention to detail
  • Problem solving skills
  • Customer and result oriented
  • Good interpersonal and communication skills
  • Able to work independently and be part of the team
  • Advanced level in use of Microsoft Office (Outlook, PowerPoint, Word, Excel)
  • Fluent English language knowledge (written and spoken)
  • Digital tools knowledge will be valued
  • Meeting and event planning & organization experience will be a plus
