Quotes & Tenders Specialist

Place of work: Warsaw

 

Responsibilities:

  • Monitoring public procurement opportunities and identifying tender procedures aligned with the company’s business profile
  • Reviewing tender documentation, technical specifications and draft agreements to assess participation opportunities, identify risks and ensure compliance with company policies
  • Managing tender processes end-to-end, from opportunity identification through bid submission to contract award
  • Preparing and coordinating tender submission packages, ensuring completeness and compliance with tender requirements
  • Coordinating the collection of documents, declarations, certificates and other attachments required for tender submissions
  • Collaborating with Sales, Marketing, Finance, Legal, Compliance and other internal stakeholders during tender preparation and execution
  • Preparing and submitting clarification questions to contracting authorities and analyzing responses, amendments and changes to tender documentation
  • Submitting offers through electronic procurement platforms and ensuring compliance with submission requirements and deadlines
  •  Managing communications with contracting authorities throughout the tender process
  •  Monitoring tender proceedings, clarification rounds, requests for additional information, tender outcomes and award decisions
  • Preparing clarifications, responses and supplementary documentation requested during tender procedures in cooperation with relevant stakeholders
  • Managing tender pricing implementation and maintenance in company systems following tender award.
  • Maintaining tender records and ensuring proper documentation archiving
  • Providing guidance on public procurement regulations, tender requirements and contractual obligations

 

Requirements:

  • Professional experience gained in the tendering department
  • Practical knowledge of the Public Procurement Law
  • Very good communication and organizational skills
  • Reliability, accuracy, commitment and initiative in action
  • Ability to prioritize and work on several tasks at once
  • Very good knowledge of spoken and written English (min. B2)
  • Practical knowledge of SAP or Service Cloud will be an advantage
  • Practical computer skills (MS Office – Outlook, Excel, Word)
