Capital Equipment Coordinator, Spain & Portugal

Location: based in our offices in Madrid, on a hybrid working schedule (3 days/week in the office + 2 days/week working from home).
About the Role
The Capital Equipment Coordinator supports the commercial and operational management of the Capital Equipment business across Spain and Portugal. The role coordinates capital equipment processes, business reporting, service contract administration, and third-party integration while partnering with Sales and cross-functional teams to ensure efficient delivery, compliance, and customer satisfaction.
In this role, you will be responsible to:
- Support the Sales organization with capital equipment and service negotiations, customer visits, contract administration, and commercial planning.
- Manage capital equipment processes, including approvals, installations, documentation, inventory transfers, and shipping authorizations, ensuring compliance with company procedures.
- Coordinate business reporting and analysis using Tableau, Sales Cloud, generative AI reporting tools, and Excel to support commercial decision-making.
- Own and coordinate the Third-Party Integration (TPI) process, working with all stakeholders to ensure successful completion.
- Coordinate third-party management, resource optimization, and audit support.
- Collaborate with Capital Equipment Technical Services team (CETS) with the processes of service contracts, acting as the link between Sales and Service teams when needed.
- Support Marketing and Capital Equipment Teams with new product launches and monitor installed base performance.
- Build effective relationships across Sales, Finance, Legal, Operations, Customer Service, Marketing, CETS, and European Headquarters to drive operational excellence.
What are we looking for in you:
- Degree in Business Administration, Sales & Marketing, Biomedical Engineering, or a related field.
- 2-3 years minimum of experience in a coordination, commercial support, or administrative role. Experience managing capital equipment will be a plus.
- Strong analytical skills with advanced Excel and experience using reporting tools such as Tableau, Salesforce and/or generative AI.
- Excellent organisation, attention to detail, and stakeholder management skills.
- Fluent English (minimum B2).
